Who we are

GymOS by xotec.me is a service operated by Protanine LLC in the United Arab Emirates, presenting gym data in a unified monitoring dashboard. This policy explains how we handle the data you send through the compatibility-assessment request form on this site or through an advertising form linked to the service.

Data we collect

When you submit a compatibility-assessment request, we collect your full name, gym or company name, phone number, email if you choose to enter it, the emirate, the city if you choose to enter it, your role at the gym, and the number of branches. We also collect the type of access-gate system, the data sources you want assessed, the main operational problem, and when you would like to start.

We also record the submission time and basic data about your visit source, such as advertising-campaign identifiers, to understand where requests come from. The server uses the internet (IP) address temporarily to protect against abuse without storing it with your request. The site collects no biometric data.

Why we use this data

We use your request data only to assess whether your gym’s systems can be connected and to contact you about the request, by phone, WhatsApp, or email. We do not use your data for any other marketing unrelated to your request, and we do not sell it to anyone.

Legal basis and consent

We process your data based on your explicit consent when you tick the consent box in the form, and in accordance with the UAE Federal Personal Data Protection Law (PDPL).

Data sharing and storage

We rely on trusted technical service providers to run the site, store data, and alert the follow-up team when a new request arrives. These providers use your data only to provide their services on our behalf and per our instructions.

We do not enable advertising-measurement tools on this site by default. If in future we enable tools to measure advertising campaigns, such as Meta tools, we will disclose this and request separate consent for that measurement. We will not send your detailed form answers to any advertising platform.

Retention period

If a request does not result in a subscription or contractual relationship, we keep its data only for as long as needed for the follow-up purpose and then delete it. If you become a customer, we may keep the data needed throughout the relationship and afterward to the extent required by contractual or legal obligations. You may request deletion of your data at any time, subject to any applicable legal obligation.
